Your accounting firm's deadlines, documents and fees in one panel

Each client's filings for the month, missing documents and service fee sit on one screen. The AI flags each deadline ahead of time; the accountant signs and decides.

The problem

Sound familiar?

  • PAYE on the 15th, corporate VAT and social insurance on the 20th, personal VAT on the 25th. Which client still has which filing open? Only the spreadsheet knows.
  • Bank statements and invoices arrive scattered over WhatsApp, e-mail and by hand. You notice the missing one on deadline day.
  • Who paid this month's service fee, and who hasn't paid for two months? A notebook or an Excel file keeps track.
  • A client calls: "Has my return gone in?" You stop what you are doing to open the file.

The solution

Every client, every deadline, one screen

CyprusAI Pharos gives your firm an AI employee that prepares the work; the decision and the signature stay with you. Client records, the filing calendar, document requests and service fees meet in one panel. Each filing moves through clear stages: waiting for documents, in preparation, awaiting approval, submitted. Only the signing accountant can mark a filing as submitted. You submit the return yourself on the Internet Tax Office (INTVD); the panel records who submitted it and when. Ask the assistant "which deadlines are this week, whose documents are we waiting for" and it answers from your firm's own data.

What's waiting for you in the panel

1

Filing calendar (North Cyprus and Türkiye)

PAYE, VAT, social insurance (SSD), the Provident Fund (İhtiyat Sandığı) and corporate tax become calendar lines for each client. Your firm approves the rules once. When an extension is announced, you enter the new date with the notice's link; open lines move to it. A separate package covers Türkiye, with the GİB and SGK calendar.

2

Document collection and invoice reading

Each period lists the documents you need from the client: bank statement, purchase and sales invoices, payroll details. You see at a glance what came in and what is missing. The AI reads an invoice photo; date, supplier, tax number, amount and VAT arrive as suggestions. Nothing reaches the record until your firm accepts it.

3

Client portal

Clients sign in with a link and an e-mail code. They see document requests and upload a file or a phone photo. They follow their filing calendar and service fee balance, and write to your firm.

4

Deadline reminders

As a deadline nears, your team gets an alert. A WhatsApp or e-mail text for the client comes ready; you approve and send it. A rule your firm has not approved never produces a client reminder.

5

Service fees and collections

The monthly fee in the contract becomes a charge line every month by itself. Paid, part-paid and overdue clients show separately. For a fee in sterling or euro, the exchange-rate source is written next to it.

6

Tasks, workload and firm reports

Every client has a responsible accountant. Tasks link to a client or a calendar line, so you see who carries how much work. Firm reports show delays, workload per accountant and the collection rate.

Your gain

What does this win you?

Deadlines, missing documents and open fees are in front of you every morning. Less time goes on spreadsheets, calling clients one by one and chasing papers on deadline day. Clients see their own status in the portal, so fewer of them call to ask.

Frequently asked questions

Does Pharos submit the tax returns?

No. Your firm submits returns on the Internet Tax Office (INTVD). Pharos prepares and tracks the work: which filing is at which stage, who prepared it, who submitted it. Only the signing accountant can mark a filing as submitted.

Does the AI calculate tax or make decisions?

No. It does not calculate tax amounts, rates or penalties, and it gives no tax advice. It reads deadlines, shows missing documents and drafts reminder texts. Fields it reads from an invoice arrive as suggestions; nothing is recorded until the accountant accepts them. Every text sent to a client ends with a fixed line: this is not tax or legal advice, and your firm confirms it.

How do clients send their documents?

Clients sign in to their own portal with a link and an e-mail code. They see which documents are requested for which period. They upload the invoice or statement as a file or take a photo with their phone. The document lands at your firm, and its status changes once you check it.

Does it know North Cyprus deadlines and extensions?

The North Cyprus package follows the Income and Tax Office (GVD) calendar: PAYE and withholding taxes on the 15th, corporate VAT and social insurance on the 20th, personal VAT on the 25th. Your firm approves the rules once. When an extension is announced, you enter the new date with the notice's link; reminders follow the new date.

Can clients pay the service fee online?

There is no online payment. Clients see their balance and payment status in the portal; your firm writes the payment details. When the money arrives, your firm marks it and the balance closes.
